Bylaw - 0175.1 School Board Conference, Conventions, and Workshops

The Board recognizes the value of membership and attendance at conferences and meetings at the local, County, State, and National level.

Attendance at local, County, and State workshops and conferences is encouraged.

Each Board member is expected to report back to the Board at a public meeting of the Board after attending a conference at Corporation expense. 

Travel expenses incurred for official business travel on behalf of the Corporation shall be limited to those expenses necessarily incurred by the board member in the performance of a public purpose. 

Payment and reimbursement rates for per diem, meals, lodging, and mileage shall be established by the Corporation and approved by the Board.  Unauthorized costs and additional expenses incurred for personal preference or convenience will not be reimbursed. 

Unauthorized expenses include but are not limited to alcohol, movies, fines for traffic violations, and the entertainment/meals/lodging of spouses or guests. 

Conferences that are under the auspices of Carmel Clay Schools are subject to the following expectations:  

Carmel Clay Schools will pay for conference registration, hotel double room occupancy, (exception for an odd number of travelers or a gender imbalance), transportation between the airport and the hotel, and meals that are not included in conference registration.  

Please make sure you understand this before agreeing to travel. Any other expenses must be approved by the Board, prior to the trip. 

Keep in mind:  


1. You must include your itemized receipt, not only a credit card slip for food reimbursements.  

2. Alcohol purchased while dining out on Carmel Clay Schools business will not be reimbursed.  

3. Hotel tax and dine-in restaurant tax may be reimbursed. Deduct any other sales tax paid.  

4. Restaurant tip may be reimbursed.

Travel and personal expenses of spouse, children, or other guests traveling with a Board member shall be the responsibility of the Board member or of the individual. Expenses for convention functions attended as a group will be borne by the Corporation within budgetary limits.

The President of the Board will regularly receive a record of Board member attendance at conferences.
